Privacy Policy
This Privacy Policy describes how GridFlow Labs (“we”, “us”) collects and uses information in connection with StockBook, our hosted inventory and memorandum software. When StockBook is branded for a specific store (for example, a jeweler’s house name), that store is the business customer; GridFlow Labs remains the software provider.
1. Who this applies to
StockBook is a business product. Users are staff of the customer organization that licenses StockBook. This policy covers data processed when those users use the software.
2. Information we process
- Account data — usernames, password hashes, optional name/email, session cookies.
- Business inventory data — SKUs, descriptions, costs, prices, locations, status, notes, batch and memo records, photos uploaded for reference or audit.
- Party data — vendor/consignor and consignee contact and address details entered by the customer.
- Operational logs — basic technical logs (for example IP used at login) needed to run and secure the service.
- Integrations — if the customer connects Shopify or email sending, we process the tokens and fields required for those features.
3. How we use information
- To provide and maintain StockBook for the customer
- To authenticate users and protect accounts
- To generate memos, reports, and syncs the customer requests
- To fix bugs, improve reliability, and provide support
We do not sell customer inventory or contact data.
4. Who owns the data
The customer organization owns its business data in StockBook. GridFlow Labs owns the StockBook software. Access is limited to the customer’s authorized users and to GridFlow Labs personnel as needed to host, support, or maintain the system.
5. Hosting and subprocessors
StockBook is hosted on infrastructure and database services selected for each deployment (for example cloud application hosting and managed PostgreSQL). Data is processed in those environments under our configuration and the customer’s subscription.
6. Cookies and sessions
We use a session cookie to keep users signed in. That cookie is required for the app to work. We do not use third-party advertising cookies in StockBook.
7. Retention
We retain customer data for as long as the customer’s StockBook instance is active, and for a limited wind-down period afterward if needed for export or legal obligations, unless a separate agreement says otherwise.
8. Security
We use industry-standard measures appropriate for a hosted business application (access control, encrypted transport, restricted credentials). No method of transmission or storage is 100% secure.
9. Your choices
Users should contact their store administrator for access or correction of account details. Customers may request export or deletion of business data according to their agreement with GridFlow Labs.
